Student ID cards at enrolment scale

Tertiary institutions issue most of their cards in a few weeks and then answer replacement requests for the rest of the year. The platform is built for both — thousands of cards released as print runs, and a lost card replaced at the counter in under two minutes.

The first three weeks

Enrolment is the load test. Photographs arrive from thousands of students at once, all needing review; cards need producing in the order people will collect them; and the card office queue is visible from the concourse. Photo invitations go out with enrolment, so most photographs are collected and approved before anybody arrives on campus.

  • Bulk import from your student management system export.
  • Photo invitations sent by email, uploaded from the student's own phone.
  • Automated ICAO pre-screen so staff review only what is likely to pass.
  • Print runs batched and released as production capacity allows.

The other forty-nine weeks

After orientation the work changes shape: replacements, staff starters, postgraduate transitions, name changes, and cards for people who never collected the first one. Counter mode prints a single card while the student waits, registered exactly like a bulk-run card.

  • Counter issuance for walk-up replacements.
  • Preferred names carried onto the card and the digital ID.
  • Faculty and campus scoping, so devolved administrators see only their people.
  • Multi-site printing — each campus print room runs its own agent.
Digital student ID

An ID on day one, before the plastic exists

A student who enrols online can hold a working digital ID in Apple Wallet or Google Wallet before their printed card has been produced. That takes pressure off the card office in the busiest fortnight of the year, and it removes the commonest replacement request there is — the card left at home.

Common questions

Frequently asked

Can we import from our student management system?

Yes. Most institutions export a spreadsheet and import it with column mapping, and the platform provides webhooks and an API where continuous synchronisation is wanted. Single sign-on through SAML or OpenID Connect means staff use their existing institutional credentials.

How do we handle multiple campuses?

Each campus print room runs its own print agent against its own printers, while cardholders, templates and approvals stay central. Access can be scoped so campus administrators manage only their own people.

Can students use a preferred name on their card?

Yes. Preferred names are held on the cardholder record and carried onto both the printed card and the digital ID, while the legal name remains on the record for administrative purposes.

Do library and door access systems still work?

Cards can carry the barcode or magnetic stripe encoding your existing systems already read, so the credential fits alongside library, print release and access control rather than requiring them all to change at once.

What about staff and contractor cards?

The same platform issues them, with separate templates by holder type so a staff card is distinguishable at a glance from a student card.
